Race Fee (Competition Fee)

Race Fee (Competition Fee) This fee (currently £80) under the rules has previously been due before a horse enters to race. The fee comprises an administration levy (to cover admin involved in checking and confirming a horse’s eligibility to race) and integrity levy (funding the integrity programme). All qualifiers are entered and checked for clearance through the BHRC Office, therefore the service begins at this point for the horse. The integrity programme is employed in-training/out of competition, at qualifying and under-competition. Therefore, this service begins before the entry for qualifying. As is unfortunately proven each year, a more than acceptable number of horses are entered to race prior to the race fee being paid. This puts unnecessary strain on the administration and promoters. In order to attempt to alleviate this and ensure fees are paid prior to the verification process for the horse (i.e. the service beginning), the fee will be due prior to a horse entering for qualifying. This will also streamline other processes; race entry clearance, lower transaction numbers so lower fees etc. The BHRC understand the concerns of members who have raised the issue of horses that may not qualify. What should be clarified and understood is that these horses will still have been subject to the time taken to undertake the necessary checks for the horse’s eligibility and may well have been subject to an integrity test. Therefore, the service that the fee covers will have been provided. Notwithstanding this, the BHRC are willing to offer that persons submitting a race fee payment for a horse that does not qualify prior to 31 October of the payment year, can apply to the BHRC for a credit. Applications must be submitted in writing, by the person that submitted the funds. Once verified by BHRC records that the horse was not successful in qualifying, a credit of £60. If any horse pays the fee and fails to enter into any event in 2025 they will be subject to a full refund. This credit process will be in place for 2025 only and assessed for subsequent years.

Job Overview The BHRC are seeking a dedicated and organised Office Secretary to administrate the sport of Harness Racing in Great Britain. Harness racing is a form of horse racing in which the horses race at a specific gait (a pace or a trot). They pull a two-wheeled cart called a sulky which is occupied by the driver. It is an appealing and exhilarating equestrian sport steeped in history with race venues spread throughout England, Scotland and Wales. The ideal candidate will possess strong clerical skills and have a knack for administrative tasks, ensuring the smooth operation of our office. This role requires proficiency in various software applications, excellent phone etiquette, and the ability to manage multiple tasks effectively. Duties Provide comprehensive administrative support to ensure efficient office operations. Manage phone calls and correspondence, maintaining professional communication at all times. Perform data entry tasks accurately and in a timely manner. Maintain organised filing systems digitally, ensuring easy access to information. Assist with the preparation of documents and reports using Google Suite and other relevant software. Utilise for basic financial record keeping and invoicing as required. Coordinate appointments & meetings. Support the team with clerical duties such as typing, photocopying, and scanning documents. Manage members licensing. Manage and process race entries. Production of race cards and relevant documentation. Ensure smooth operation of events. Sales and Purchase ledgers entries. Maintain records. Update websites. Other Duties May include assisting with Health and Safety, Insurances and other regulatory requirements of an equestrian sport Liaison Act as main point of contact for all members. Communicate with Board of Directors and individual and group race promoters. Assist integrity and stewarding teams Experience Proven experience in an administrative or clerical role is preferred. Proficient in using Google Suite (Docs, Sheets, Drive) and other office software applications. Strong organisational skills with the ability to prioritise tasks effectively. Excellent phone etiquette and interpersonal skills to interact with Members and Directors professionally. Ability to work independently as well as part of a team in a fast-paced environment. Strong organisation and communication. Ability to work independently and as part of a team. Able to work in a fast paced environment and to strict deadlines. Computer literacy and proficiency. Experience in an equestrian discipline would be an advantage. Ability to work flexibly on weekends and possibly Bank Holidays.
